Better Customer Communication for Automotive Workshops

A simple communication framework for bookings, approvals, delays, vehicle collection and follow-up in a busy workshop.

Customers do not need constant updates, but they do need the right update at the right point. Good communication reduces surprise and gives staff a clearer record of what was discussed.

Set expectations when the booking is made

Confirm when the vehicle should arrive, what the customer has asked you to inspect or repair, and whether the booking time is a drop-off time or an expected completion time.

Explain findings before adding work

When additional work is found, describe the issue, recommendation and cost before proceeding where approval is required. Keep the decision attached to the job.

Communicate delays early

Parts delays and unexpected repair complications happen. Contacting the customer as soon as the change is known is usually better than waiting until the expected collection time.

Make the pickup conversation simple

  • What was completed.
  • What was not completed.
  • Any future recommendation.
  • Invoice total and payment status.
  • Next due date if relevant.

Leave useful notes for the next visit

Good communication also happens internally. Record enough detail that another staff member can continue the conversation without asking the customer to repeat the history.
