Workshop emails work best when they are clear enough to understand at a glance. Use the customer name, vehicle where relevant, a specific reason for the message and one obvious next action.

Quote follow-up structure

  • Subject: Follow-up on your repair quote
  • Remind the customer which vehicle or repair the quote relates to.
  • Ask whether they would like to proceed or need clarification.
  • Provide a direct contact or booking link.

Service reminder structure

  • Identify the vehicle.
  • State why you are contacting them.
  • Mention the recorded service due point.
  • Invite them to book or contact the workshop.

Completed-job follow-up structure

Thank the customer, briefly confirm that the job has been completed and invite them to contact the workshop if they have questions. Avoid turning every completion email into a long sales message.

Review request structure

Ask for honest feedback after the completed job and provide a direct review link. Do not offer incentives for positive reviews.

Use templates as a starting point

Templates should save time, but staff should still adjust the message when the job or customer situation requires it. A personalised two-sentence email is often more useful than a long generic template.
