WoF Reminder Best Practices for New Zealand Workshops
How NZ workshops can build a consistent WoF reminder process that helps customers return before their warrant expires.

WoF reminders are one of the simplest ways for a workshop to create useful repeat contact. The goal is not to pressure customers; it is to help them remember an important vehicle date and make returning to the workshop easy.
Record the due date accurately
The reminder is only useful if the vehicle record is correct. Capture the WoF due date when the vehicle is checked in, serviced or inspected and update it after the next WoF is completed.
Contact customers before the due date
Give customers enough notice to choose a suitable appointment instead of contacting them after the due date. The right lead time depends on your workshop capacity and how far ahead customers normally book.
Keep the message practical
- Identify the vehicle clearly.
- State the WoF due date.
- Give the workshop phone number or booking option.
- Avoid fear-based or misleading wording.
- Make it obvious how the customer can opt out or update their details.
Use WoF reminders as part of a wider service history
WoF is one customer touchpoint. If the vehicle also has service, tyre or maintenance work due, keep those records together so the team can have a useful conversation rather than sending disconnected messages.
Remember that WoF and vehicle licensing are different
Waka Kotahi notes that most vehicles need a current WoF or CoF before they can be licensed or used on the road. Workshops should keep reminder wording accurate and avoid presenting a workshop reminder as an official NZTA notice.
