Parts and Inventory Tracking for Automotive Workshops

A practical inventory approach for workshops that want better visibility of parts used, stock on hand and items needed for upcoming jobs.

Inventory problems often appear as workshop problems: a vehicle waits on a part that should have been in stock, a commonly used item runs out, or parts are purchased but never connected to a job.

Decide what should actually be stocked

Not every part belongs on the shelf. Identify fast-moving, predictable items and separate them from job-specific parts that should be ordered against a vehicle.

Record parts as they are used

Stock figures are only useful if consumption is captured. Connect parts usage to the job so stock and invoice preparation stay aligned.

Set practical reorder points

A reorder point should reflect typical usage, supplier lead time and the cost of running out. Review it when demand changes rather than treating it as permanent.

Keep purchased parts connected to work

  • Supplier or source.
  • Part description and number.
  • Quantity.
  • Cost where required.
  • Vehicle or job reference.
  • Status: ordered, received, used or returned.

Review slow and missing stock

Regularly look for items that have not moved, negative stock, repeated emergency orders and differences between system quantity and shelf quantity.
