Digital Job Cards: A Better Workflow for Busy Workshops

How digital job cards can reduce missed information and make automotive workshop work easier to track from booking to invoice.

A job card is the operational record of what the workshop has agreed to inspect or repair. When it is incomplete, staff lose time asking questions, technicians miss instructions and invoice preparation becomes harder.

Start with a clear job scope

The job should show the customer concern, requested work, vehicle details and any important instructions before the technician begins. Avoid vague entries such as 'check car' when a more specific description is available.

Keep technician notes with the job

Findings, measurements, photos, recommendations and completed work should stay attached to the same job record. This reduces handwritten notes going missing and makes later customer communication easier.

Separate requested work from additional findings

If a technician finds extra work, record it separately so the service adviser can prepare a quote or obtain approval. That creates a clearer trail between what was booked, what was found and what the customer authorised.

Use status to make work visible

  • Booked or waiting.
  • Checked in.
  • In progress.
  • Waiting on approval.
  • Waiting on parts.
  • Ready to invoice.
  • Completed.

Finish with a clean handover to invoicing

When completed labour, parts and notes are already connected to the job, the invoice can be prepared with less retyping and fewer omissions.
