Fleet customers can be valuable, but they also create more administration because several vehicles, drivers, approval contacts and billing references may sit under one business relationship. A repeatable fleet workflow keeps those details organised.

Keep every vehicle separate but connected to the customer

Each vehicle should have its own registration, history, due dates and job records while still linking back to the fleet or business customer.

Confirm the approval process

Record who can authorise work, whether purchase orders are required and whether different value thresholds need different approval. Staff should not have to guess who to call when additional work is found.

Use consistent booking information

  • Vehicle and registration.
  • Driver or contact person.
  • Requested work.
  • Preferred booking date.
  • Purchase-order/reference requirements.
  • Collection or delivery arrangements.

Build a repeatable service history

Fleet work becomes easier when staff can see what was completed on each vehicle, which recommendations remain open and what is likely to be due next.

Make invoicing easier for the customer

Where a fleet customer needs specific references, include them consistently so the accounts team can match invoices without repeated queries.
