How to Improve Quote Approval in an Automotive Workshop

Make workshop quotes easier for customers to understand and faster for staff to follow up without creating pressure or confusion.

Quote approval becomes difficult when the customer cannot tell what is essential, what is optional and what the total cost includes. A clearer quote process helps both the customer and the workshop.

Describe the work in plain language

Use descriptions a customer can understand. Technical detail can be useful, but it should support the explanation rather than replace it.

Separate different repair items

If several repairs are recommended, list them individually rather than hiding everything in one line. This makes it easier to discuss priorities and record what the customer approves or declines.

Show the important commercial details

  • Parts and labour where appropriate.
  • GST treatment.
  • Any assumptions or exclusions.
  • How long the quote is valid if prices may change.
  • What happens if additional work is discovered.

Record the decision

Keep the approval, decline or request for changes attached to the quote or job record. Staff should be able to see what the customer agreed to before work continues.

Follow up without chasing indefinitely

A short, structured follow-up process is better than repeated calls with no record. If the customer is not ready, note that and close or defer the quote appropriately.
