Workshop Software with Xero Integration: NZ Buyer Checklist

What NZ workshops should verify before choosing workshop software with Xero integration, including invoice sync, payments, contacts, GST and error recovery.

Cloud workshop software invoice workflow prepared for accounting integration

Many workshop systems advertise accounting integration, but that phrase can mean anything from exporting invoice files to two-way live synchronisation. Ask the provider to demonstrate the exact workflow you need.

Check what actually synchronises

  • Customer or contact records.
  • Invoices and credit notes.
  • Payments.
  • Tax/GST codes.
  • Account or item mappings.
  • Supplier bills if relevant.
  • Whether changes return from Xero to the workshop system.

Ask about failure handling

A sync should not silently drop an invoice. Check whether failed transactions are flagged, retried and visible to staff so the workshop can reconcile the operational system with the accounting ledger.

Do not assume payroll is included

A Xero accounting integration is not automatically a Xero Payroll integration. If mechanic time-clock or timesheet data needs to flow into payroll, confirm that workflow separately.

WorkshopHQ note

WorkshopHQ's public feature pages currently focus on connected workshop invoicing, payments and reporting. If a specific Xero or MYOB integration is mandatory for your business, confirm the current integration status before purchasing rather than assuming it from a general accounting claim.
